Final Paper Submission Instructions
The ICRA 2025 conference committee congratulates all authors for their excellent submissions. Please follow these instructions carefully for your final paper submission.
For Contributed ICRA Papers
Please submit the final version of your paper on PaperPlaza by 6 March 2025 (23:59 PST).
You can access the reviews and remarks from the associate editor through your PaperPlaza account. Be sure to consider these comments and suggestions while preparing your final paper.
Verify that the metadata on PaperPlaza, such as the title, abstract, and author list, is accurate, as this information will be included in the program.
Remember the commitment statement you agreed to during your submission: “The final version should closely match the length and content of your accepted submission, with changes only made to address the reviewers’ comments. It is considered unethical to shorten or modify the final version in a way that makes it significantly different from the accepted version.”
Page Length – Papers appearing in the ICRA proceedings
Your final submission must adhere to the (6+n) page limit, which includes six pages of technical content (text, figures, tables, acknowledgments, etc.), with no limit on the length of the bibliography/references (n pages). Please note that PaperPlaza does not have the capability to automatically check compliance with the (6+n) page limit. Therefore, compliance will be MANUALLY VERIFIED after the final submission deadline of 6 March 2025.
Any final paper submitted by the deadline that does not meet the (6+n) page requirement will be SUMMARILY REJECTED and REMOVED from the conference proceedings. Authors will not be given an opportunity to correct any non-compliance, due to the limited time between the final submission deadline, the manual (6+n) page check, and the conference publication deadlines.
For RA-L, T-RO, T-FR, T-ASE and RAM Papers
The final version of your paper must be uploaded to PaperPlaza by 6 March 2025 (23:59 PST). Please ensure you upload the same PDF version that was submitted to ICRA 2025.
Author Registration
In accordance with the Robotics and Automation Society and ICRA conference policies, at least one author of your paper must be registered for the conference before uploading the final version. All presenting authors must be registered by 6 March 2025. For registration details, please click here. To have your paper included in the final program, at least one author must complete the conference registration.
Important Notice for Authors Requiring a CC BY License (e.g., UKRI-funded Researchers)

Paper upload and format of papers
Q: When submitting through PaperPlaza for ICRA 2025, do I need to change the RA-L, T-RO, T-FR, T-ASE, or RAM paper format or make any modifications?
A: There is no need to restyle your paper to match the ICRA contributed paper format.
You can submit the preprint PDF of your RA-L, T-RO, T-FR, T-ASE or RAM paper, but please ensure that the header and footer are left clear, as the publication team will add a stamp in both areas.
Q: Do I need to upload a registration PDF file before uploading our final paper?
A: There is no need to upload the registration PDF file. However, there is a system in place to verify the paper ID(s) associated with the registration of one of the authors. If a paper is not linked to an author’s registration, it will not be included in the program.
Q: I uploaded the PDF in the same format as the final RA-L submission of the manuscript on PaperPlaza. However, after checking the converted PDF, I noticed that some margins are violated. Do I need to recompile the manuscript using a different document class than the one used for RA-L?
A: As long as the format adheres to the RA-L guidelines, it will be acceptable. Just make sure to keep the header and footer clear, as our publication team will add a stamp at the top and bottom of the first page.
Page Limit
Q: The guidelines mention that contributed papers have a page limit of 6 pages. Does this rule apply to papers transferred from RA-L with 8 pages? Do I need to reduce it to 6 pages?
A: No, the 6+n page limit does not apply to RA-L papers or other RAS Journal papers. This policy is specific to contributed papers for the ICRA 2025 conference. You can include all of your technical content in the RA-L paper without needing to reduce it to 6 pages.
Author Registration
Q: The official website says that “at least one author of your paper is registered for the conference before final paper upload”. Under what Category do I have to register?
A: According to the RAS and ICRA conference policies, at least one author must register under the regular registration category, not the Day Registration, before uploading the final paper.
Copyright
Q: I got my T-RO submission paper to ICRA 2025 accepted. Should I just submit my T-RO paper? It was already published by IEEE. Are there any copyright issues?
A: You can submit either the preprint PDF or the published version from IEEE Xplore. T-RO will retain the copyright for your paper.
Please note that your final submission will be included in the conference proceedings, which will be distributed to all conference participants through InfoVaya (the conference app). However, it will not be sent to IEEE Xplore after the conference.
